Cheap Parts Are the Most Expensive Thing I Buy

I'm the guy who signs the purchase orders for our equipment fleet, and after five years in the seat, I've landed on a view that surprises people: cheap parts are the most expensive thing I buy.

I manage purchasing for a 75-person construction company—roughly $400,000 a year across 15 vendors, from hydraulic fittings to the Doosan excavator we run on most jobs. I report to both operations and finance, which means I sit in budget reviews where the bottom line is the only line that matters. But the actual cost of a part includes everything that happens after it fails. The downtime. The second trip. The expedited shipping. The client comment you can't un-hear. Add those up and the savings from a cheap part usually vanish—or turn into a loss somewhere worse.

This isn't an "always buy OEM" argument. I'm not that guy. But I've learned that quality is the message my company sends every time a machine cranks up. And the parts inside that machine are the fine print of that message.

I've had the budget conversation from both sides. I've argued for the cheaper option in front of the owner, and I've explained to the maintenance crew why a purchase order needs to be approved twice in one week. Neither conversation is fun. But the one I hate most is telling a foreman why a part I bought needs to be bought again.

The $8 Forklift Key That Cost About $800

To Be Fair, Budgets Are Real

Before you type that comment: I'm not the "always OEM" guy. I still buy generic fasteners, hoses, and low-stakes consumables without losing sleep. The line I've learned to draw is based on one question:

"What does this part touch when it fails?"

If the answer is "nothing important," buy the cheap one. If the answer is a fork, a bucket, a crew's safety, or a client's perception, the math changes completely.

Also—the question everyone asks is, "What's your best price?" The question worth asking is, "What's the cost if this fails in six months?" In my experience, the difference between a marginal part and a good part is usually small on the invoice and large in the field.

To be fair, I've also bought plenty of generic parts that worked fine. We run aftermarket air filters in some equipment with zero issues. The point isn't the brand stamp on the box. The point is understanding which parts carry risk and which ones don't. That's a judgment call, and it gets easier with experience.

There's also a timing angle. Parts sourced locally from a dealer with an actual counter show up faster than anything shipped from a warehouse. That alone has saved me more headaches than most online "deals" are worth.

Equipment Is the Handshake

After five years in this seat, I've come to believe that quality isn't a department and it isn't a budget line. It's a set of small decisions that compound. The $22 key works and nobody remembers the key. The genuine bucket teeth hold and the client books another project. The compressor hums in the background and the shop keeps moving. Nothing dramatic happens—and that's exactly the point.

I get asked whether brand names are worth it. My answer is usually: brand names don't matter. Predictable engineering does. And in my experience, a company like Doosan makes parts that behave the way the spec sheet says they will. That predictability is worth more than the discount.

Your equipment is the handshake you offer clients. Make sure the parts holding it together aren't telling a lie about who you are.
